HOW TO WRITE A HANDOVER LINE — DESK REMINDER A line works when the person arriving can act on it without asking anyone. That takes four things. Miss one and someone has to walk the floor again. 1. WHERE minimum reference: room, area, asset 2. WHAT the verified fact, not the guess and not the verdict 3. WHO the role that owns it now 4. WHEN time, event or condition of the next check And a fifth, when a guest has been promised something: 5. WHAT WAS PROMISED, in the words they were given, and by whom --- BEFORE AND AFTER [ ] "214 problem" → 214 not sellable: leak under the basin. Reported to maintenance 10:15. Front office decides before arrivals. [ ] "noise complaint second floor" → 302: duct noise between 23:00 and 01:00. Room change promised tomorrow if it repeats. Front office AM checks at 08:00. [ ] "check the spa" → Spa: chlorine probe out of range at 22:00, pool closed 22:30. Reopens only after maintenance verifies. If not verified by 09:00, tell management. [ ] "the gentleman in 118 has an allergy" → 118: allergy passed to the restaurant on the 3rd, confirmation received. (The name is not needed here: it is in the PMS. What matters is that the restaurant knows.) [ ] "done" → Closed: corridor light replaced, 2nd floor. Verified by maintenance 07:40. --- THE THREE MISTAKES THAT COST MOST Writing for yourself. Shorthand only you will reread, not the person arriving. Writing a verdict. "Difficult guest" tells the reader nothing to do. Never closing. With no closing line the same thing gets reported twice and the second report looks new. WHAT NEVER GOES IN Guest names, payment details, documents, health information, passwords or codes. The room reference is enough to work with: the guest record stays in the PMS.
